KYB manual review queue

A KYB manual review queue is the list of business applications that automated onboarding could not approve or reject on its own and that are waiting for an analyst. Every KYB program has one. The questions are how big it gets, how old the oldest case is, and what happens to it outside business hours.

Why it matters in KYB review

The queue is where risk decisions and customer experience collide. A legitimate business waiting days for an account may go to a competitor; a risky one approved to clear the backlog becomes the institution's problem. Queue health is therefore both an operations metric and part of the control environment: how long cases waited, whether they were worked in a consistent order, and whether escalations reached someone with authority are fair questions for anyone testing the program, internal or external.

What an analyst checks

Working a queue case means:

  • Reading why it landed there. The routing reason (a failed tax ID match, an unresolved owner, a screening hit) is the first thing to resolve.
  • Completing the business onboarding review, including the parts the automation cannot judge, such as whether the business model fits the declared activity.
  • Deciding the next action: recommend approval, recommend decline, escalate, or send one consolidated request for information.

Useful queue metrics: cases received per day, cases closed per day, age of the oldest open case, share of cases waiting on the applicant versus waiting on the institution, and reopen rate after QA.

Common pitfalls

  • Aging by arrival, working by ease. Analysts pick the quick cases and the hard ones rot. Set rules for the order of work.
  • Mixing "waiting on us" with "waiting on them". A case pending the applicant's reply is a different problem from a case nobody has opened.
  • Weekend cliffs. Applications submitted Friday evening are often first touched Monday. Growth campaigns and product launches make the Monday queue larger still. See 24/7 onboarding review.
  • Loosening thresholds to shrink the queue. Fewer cases routed to review can mean more risk approved automatically.
